Meeting to discuss Clubs Open Day – held in conjunction with Shrewsbury Town Supporters Umbrella Group.
TUESDAY 21ST JUNE 2005. 7 P.M. ARTHUR ROWLEY PLAYERS BAR
Attended by Mike Ashton, Jayne Bebb, Carol Bradshaw,Gary Bright, Judy Davies,Gary Edwards, Alan Follmer,Roger Groves, Siobahn Hayes,Phil Hopkins, Martin James,Ryan Jervis, Ian Jones, Mary Miller, Adrian Plimmer, Karen Porter,Gareth Proffit, Keith Sayfrtiz,Colin Storey, Mike Thomas, Sue Thomas, Ina Whitfield, Tim Williams
Apologies from fagin, Chris Smith, Mal Whitrick, Chris Wynne.
The meeting was split into two parts Open Day and Umbrella Group meeting. These minutes are concerned with just the Open Day meeting.
Open Day
This section was the meeting was chaired by Mike Thomas
Mike covered some of the items already booked for the Open Day
· Red Cross – dealt with by Mike Ashton
· Membership Cards/ Season Tickets – from the Commercial Office
· Promotion of event – Radio Shropshire, Shropshire Star and Shrewsbury Chronicle would help, although it’s unlikely they would attend on the day.
· Inviting sponsors – West Brom Building Society would attend.
· Freddy Hale would provide disco
· Parking – No parking on site between 9 a.m.and 12.30 p.m. All helpers must be parked up by 9 a.m.!! Should aim for 8.30 a.m.
· Wakeman School – have agreed to donate there parking space at the school for players, club officials. This will be stewarded
· Caterers – Lindley Caterers will not be opening during the Open day, but normal matchday provisions will be provided.
· Ice Cream, Burger man – needed. If anyone could contact on, to please get in touch
· Ryan Jervis to do P.A. on the day
· Tours of ground. Adrian Plimmer volunteered. Was suggested by meeting to do a tour just before event closes.
· Posters – Carol Bradshaw
· Alan Follmer – volunteered to organise chairs and tables for Supporters Groups. Also responsible for putting out tables and chairs for players to sign autographs.
· Event to run from 9.30 a.m. to 12.30 p.m.
Mike then invited everyone who had attended to comment
Carol Bradshaw Poster design for match and open morning. Ian Whitfield to take this further
Mike Ashton Club would need separate safety certificate as the current one states that no other activity is to be held on a match day.
County Council will give an exemption, but strictly no parking between 9 a.m and 12.30 a.m.
Match officials will park in Wakeman School
Karen Porter Rep from work had given her pens to hand out
Phil Hopkins Not available on Open Day. Commented that posters needed bolder print
Gareth Proffit Suggested mailing posters out. Also knows a burger van. Suggested face painting
Keith Sayfritz Re; Posters mail out Thought this would prove costly. Better to use Radio Shropshire. Get Mike on Colin You8ng’s show etc.
Ryan Jervis Open days were ‘wonderful occasions’. Everyone should let Ryan know what is going on the day so he can promote it. Need to make people feel welcome.
Jayne Bebb Can provide the following;
Lollies.
Has a contact with Fire Brigade to bring down a Fire Engine
Contact with Army – Climbing Frame – NB Mike Ashton expressed raised issue about insurance.
Richie Woodall as suggestion to come to event/ open the event.
Richard from Oakley’s – can provide free helium for balloons. Have Blue and Amber balloon MB Issue with regards who will blow them up? – Suggested ask the Blue and Amber message board community for there help with this?
Staples – are providing 50 pens and 2 CD’S
Has a contact with Face Painter. Needs to know time of event
Also has a contact with an Ice Cream van
Knows some headmasters of schools and they will be given posters for event

Sue Thomas Prize for draw promised
Keith Sayfritz Suggested free prize draw for the event. Just need prizes
Mary Miller Suggested Mayor to open event will be doing Golden Gamble tickets.
Mike Thomas Suggested Gary Peters opens event. Could provide very good photo opportunity/Mike Thomas to sort out.
Sib Hayes Club shop open with new merchandise including new home shirts.
Gary Edwards Representing Chris Smith. Super Blues and Away Travel club. Will need tables
Alan Follmer Opening Players Bar. To talk to Chris Jarrett about stock
Gary Bright Commented about ways of getting people who have attended Open Day to also come to match in afternoon

Keith Sayfritz suggested that Lindley Catering should be informed that people would be inside the stadium from 12.30. Need to ask them if they could open up early.
Need to identify something that could happen between end of event and match
Views from the Sponsors Bar and Players Bar not being used for match. Could supporters groups not put on something during this time? I.e. Food, quiz
Meeting Happy Hour, Match Videos etc.
Gary Bright Commented that poster should also state that new kit was going to be sold
Also mentioned about admission process for the game
Keith Sayfritz Some discussion had taken place that prices had already been agreed with Tranmere, this would be checked. Club will look at pricing
Ryan Jervis That women’s match idea would be good
Mike Thomas Players would warm up on the pitch at 2.15 p.m.
Ground would need to be cleared by a certain time, and there would be a small layover period between the end of the event and the opening of the turnstiles for the match/ pre match entertainment. This was likely to be between 12.30 and 1 p.m.
Roger Groves Felt new shirt on poster would be better than having badge
Martin James suggested fading badge down so that print was more ledgeable
Roger Groves Appearance of players. Time to be publicised
Schools – could we get players into schools on the day before- NB Felt this would clash with training. Ian Whitfield suggested using
Fiona Hodgson’s contacts. Keith Sayfritz acknowledged this would be a good idea during the season
Julie Bergel – Manager Cineworld would be able to provide us with cinema tickets
Pre match entrainment was a good idea. On pricing, an excellent opportunity to do kids for a quid. NB Club felt this would be an excellent idea and would discuss further
Colin Storey Felt the event need to have something that would grab kids attention.
Talked at last meeting about autograph sheet. Ina Whitfield said that he could produce a booklet
Had 'blow up Football' at a previous event
Will be able to attend the event
Shropshire Senior Cup – big opportunity to ‘big u’ the event.
Mike Thomas Following suggestions from the last meeting, Liverpool had been contacted but was unable to let us use European Cup, as it was need for an event in Liverpool
Mike Thomas Brian Williams had agreed to do a penalty shoot out via FITC

Ian Whitfield Had spoken to GP and doing a training session at event would be fine
Felt GP would be ok with a Women’s game as pre match entertainment. Mike Thomas would speak to him about this.

Roger Groves Felt that last season time to get players to sign autographs was too short.
Also needed a contingency if the weather was poor
Adrian Plimmer Felt that this was a great opportunity for club to gain volunteers in areas where it was lacking. Suggested two areas.
1) Stewards. – could there not be information provided to gain more stewards
2) Programme sellers
Mike Aston said he would look at steward recruitment. Kevin Davies would need to be contacted about programme sellers
Martin James Would team be playing in new kit. NB This was felt unlikely, due to new sponsor etc. New shirt will be available to buy on open day
Mike Thomas Outlined position with regards sponsoring kit. Sponsor would get a signed shirt by the player but would not be the match worn one.
Phil Hopkins RE: Shropshire Cup. Suggested volunteers could do half hour stints to look after5 cup on Open Day.
Colin Storey Could have photographer there.
Roger Groves volunteered to help be one of the volunteers.
